Title:              Education Programs Associate

The Education Programs Associate will provide administrative leadership and support to the IDEAL and SMASH programs that currently works with more than 120 high-achieving low-income students of color and their families. 

 

Responsibilities: 

 

ADMINISTRATIVE (50%)

  • Track scholars’ meeting attendance, academic records, stipends, and scholarships
  • Work with staff Events Manager to co-manage education events (e.g., reserving rooms, food and beverage needs, RSVPs, etc.)
  • Attend selected meetings with Assistant Director of Education Programs to determine administrative program needs
  • Maintain and organize both paper files and electronic files for current scholars and alum.
  • Communicate with scholars and their families about upcoming events and workshops.
  • Translate written documents from English to Spanish
  • Maintain database of student information and support evaluation data collection.
  • Work with fundraising staff to provide student demographic and academic information to funders

PROGRAM RELATED (40%)

  • Work with Assistant Director of Education Programs in implementing logistical aspects of the summer and academic year components of SMASH and IDEAL
  • Assist in recruiting, reviewing, and nominating student participants
  • Provide administrative support during the IDEAL internship process
  • Be available for weekend meetings and events, in particular during May through July
  • Prepare materials for summer residential program
  • Manage student loaner-laptop program

FINANCIAL SUPPORT (10%)

 

  • Work directly with UCB financial aid office to determine scholarship eligibility
  • Work with accounting staff to ensure accurate scholarship amounts are disbursed
  • Notify scholars of financial form deadlines (e.g., renewing FAFSA)
  • Manage payments for student summer internship program
  • Provide information and support to scholars and their families on financial aid options

 

Success Factors

We anticipate that the right candidate will have most of the following qualifications:

  • 4 year degree in an education-related field and/or 2 years of experience in education administration

This position reports to the Director of Education, and is responsible for the success of the academic components of the five week residential SMASH summer academy and its academic year program, as well as the academic services offered to our IDEAL Scholars. This position will also craft academic services as our programs expand to serve more students in additional locations.

Responsibilities:

  • Translate our current academic content into a replicable model which can be used to grow the LPFI education programs to other locations
  • Evaluate existing academic programs/activities and make changes to enhance them
  • Excellent presentation, communication and facilitation skills
  • Ability to meet stringent deadlines and be flexible with change
  • Proven experience in project management
  • Manage a curriculum development team to customize culturally relevant course material with a STEM focus to include scope and sequence, lesson plans, instructional materials and experiential learning activities
  • Design material for various workshops for scholars (study skills, interviewing, graduate school, career); train on the material as needed
  • Recruit, train and develop SMASH instructional staff to ensure a high quality curriculum focus
  • Refine and implement Individualized Academic Development Plans (IADP) for each SMASH scholar
  • Conduct data analysis and develop reports based on results from evaluations/surveys and academic records of both program’s scholars
  • Identify special opportunities to assist scholars and enrich their learning experiences in their courses of study and development
  • Provide leadership and mentorship to scholars and SMASH and IDEAL staff.  Anticipate problems, and proactively suggest solutions
  • Serve as a source of support, inspiration, encouragement, and motivation for the scholars, but able to refer them to campus/professional resources when necessary
  • Oversee all components of the student recruitment process, including outreach and selection
  • Provide academic and scholar information to Development staff for requesting funds and reporting to donors

Title:                                Scholarship, Fellowship, Internship "SHIP" Coordinator

 This new position will work with both high school and college students, mostly first in their families to be pursuing higher education, and all are underrepresented students of color.  Working closely with the Education Team, the SHIP Coordinator will seek to continuously support the Scholars and increase their opportunities and skills.  Identifying needs and setting up solutions proactively will be an important part of this role—e.g. helping Scholars learn about internships, scholarships, resume writing, interview skills, and surviving corporate cultures.

Responsibilities

SCHOLARSHIP, FELLOWSHIP (25%)

  • Maintain active, current, creative scholarship database for students applying to college, and those already in college
  • Special emphasis on students pursuing STEM majors
  • Look for non-traditional opportunities that expand Scholars’ horizons about their fields of interest as well as careers—e.g. international, research
  • Help students learn to identify opportunities and to apply for them
  • Educate students and their families as to prestigious fellowships, what they are and how to pursue them

                                           

INTERNSHIPS (65%)

  • Work to expand number of Scholars spending their summers in internships, including educating them as to how internships lead to better job prospects and more successful graduate/professional school applications
  • Expand number of paid opportunities—e.g. do active outreach to local companies, law firms, non-profits to create more opportunities
  • Maintain active, current, creative internship database for Scholars, including comments from past interns
  • Work with Scholars and Director of Education to poll Scholars on their interests, and match them with opportunities
  • Develop and implement ways to improve and evaluate internship program

 

MENTORSHIP (10%)

  • Evaluate effectiveness of current mentoring program in its first year; expand, adjust as indicated by review
  • Continue to recruit mentors, train mentors and mentees

The Development Associate will be a key player in raising funds for LPFI’s existing education programs, as well as raising funds for these programs as we scale and expand.   In 2010, we have a $3.5 million annual budget, with an annual $2.0 million gift committed for our operating and program expenses.  One hundred percent of all revenue raised by the Development Department goes directly to student programs.

 

Responsibilities: 

  • Write proposals and reports, maintain grant files, prospect new grant funders
  • Manage active grants to ensure compliance with agreements
  • Work with Education Team to compile data, student stories, and note relevant trends and programs so as to effectively raise funds for education programs
  • Prospect research, donor solicitation, and effective stewardship of individual donors
  • Manage the donor database (Exceed! Premier) and process incoming revenue, including quarterly and annual reconciliation with the finance office
  • Assist with production of annual fundraising Gala and other special events for donors
  • Generate internal reports for assessing fundraising status
  • Coordinate direct mail as part of a larger individual donor strategy
  • Manage administrative functions of the Development Department, including pulling donor lists, filing, data collection, arranging site visits and donor meetings, and
  • Work with other Development Team members (Executive Director, Development Director, Major Gifts Officer, Communications Director, and Special Events Manager) to ensure cohesive implementation of our annual development plan

The Summer Math & Science Honors Academy (SMASH) is a five week residential academic enrichment program for bright, motivated, high school students from underrepresented populations (African-American, Latino/Hispanic, underepresented Asian and/or Pacific Islander and Native American) who show an aptitude for science and math. The student participants will be recruited from designated underserved communities throughout the Bay Area and will be selected through a competitive nomination, application, and interview process. These students will then spend five weeks on a college campus attending science, math, computer science, public speaking, college admissions and English classes. SMASH students will have a balance of academic training and scientific research activities to enhance their science and mathematics knowledge and capabilities. The Academy will provide accelerated classes, laboratory experiments, and an introduction to a university environment. One of the goals of SMASH is to prepare students from underrepresented communities to be competitive for selective colleges and universities in science, technology, engineering, and math-related studies (STEM).

EXPERIENCE REQUIREMENTS:
• Current California credential in the subject area applying for (or information indicating your eligibility to receive one).
• Commitment to the Summer Math & Science Honors Academy’s mission is essential
• Previous experience working with students from low-income and underrepresented backgrounds
